Job Description

AEC Inc. was founded over 30 years ago as an entrepreneurial company dedicated to providing world-class technical documentation services. Our experience includes the support of programs in aerospace, transportation, defense, manufacturing, and more. Our cross-functional teams of technical writers, illustrators, and documentation specialists help customers develop and integrate a wide range of technical documentation and information management solutions.

The Project Coordinator ensures smooth delivery across the full project lifecycle—setting up engagements, coordinating schedules and resources, and tracking budgets, utilization, and progress to keep work on time and in scope. They serve as a hub for client and internal communication, prepare quotes and change orders, maintain clear status reporting, and uphold team processes so projects are launched right, executed predictably, and closed out cleanly. 

This hybrid role requires onsite work 1–3 days per week for collaboration, training, or key project activities. Candidates should be within commuting distance, though remote arrangements may be considered. Some schedule flexibility is needed to support remote teams and clients across the U.S.

Qualifications:

  • Bachelor’s degree in business, communications, or a related field (or equivalent experience).
  • Minimum of two years of project coordination or management experience.
  • Demonstrated problem-solving skills and proactive approach to identifying risks.
  • Strong organizational skills with proven ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency with spreadsheets and reporting tools.
  • Strong attention to detail and commitment to accuracy in documentation and tracking.
  • Ability to work collaboratively across departments and with clients.
  • Comfortable working in a fast-paced environment with changing priorities.
  • Willingness to travel as needed for project or client needs.

Essential Duties:

  • Coordinate project setup, tracking, and closeout to ensure all deliverables are completed accurately and on schedule.
  • Monitor project budgets, timelines, and resource utilization, alerting leadership to potential risks or variances.
  • Facilitate communication among project teams, leadership, and clients to maintain alignment and transparency.
  • Support the preparation of quotes, proposals, and change orders in collaboration with technical and production staff.
  • Maintain organized project documentation, schedules, and status reports for internal and client use.
  • Model and promote the company’s values in daily work and decision-making.
  • Actively contribute to continuous improvement efforts to enhance processes and overall company success.
  • Work collaboratively in a team environment with a spirit of cooperation and mutual respect.
  • Demonstrate good communication and active listening skills in all interactions.
  • Ensure adherence to established company processes, templates, and workflows to maintain consistency and quality.
