Position Summary
The Housing Compliance Records Clerk is responsible for maintaining accurate, complete, and compliant housing records in accordance with company policies and applicable housing regulations. This role supports compliance and property management teams by ensuring resident files, certifications, and supporting documentation are properly collected, organized, and audit-ready at all times.
Key Responsibilities
Records Management & File Maintenance
Maintain resident and unit files, including applications, leases, income verifications, certifications, and recertifications.
Ensure all required documentation is complete, accurate, current, and properly filed in both electronic and physical systems.
Scan, upload, index, and archive documents in accordance with company retention and compliance policies.
Compliance Support
Assist with compliance requirements related to workforce and affordable housing programs.
Conduct file reviews to identify missing, expired, or incorrect documentation.
Coordinate with property staff and residents to obtain outstanding compliance documentation.
Prepare records for internal audits, investor reviews, and regulatory inspections.
Data Entry & Quality Control
Enter and update resident and unit information in property management and compliance software.
Perform quality control checks to ensure consistency between documentation and system data.
Generate compliance-related reports as requested by management.
Coordination & Confidentiality
Work closely with property management, leasing, and compliance teams to support timely certifications and recertifications.
Respond to internal requests for records and documentation promptly and professionally.
Maintain strict confidentiality of resident and company information in accordance with privacy requirements.
Qualifications
Education & Experience
High school diploma or equivalent required; additional coursework or certification in housing, compliance, or business administration preferred.
1–3 years of experience in records management, property management, housing compliance, or administrative support.
Experience with workforce housing, affordable housing, or regulated housing programs preferred.
Skills & Competencies
Strong attention to detail and organizational skills.
Proficiency with Microsoft Office and document management systems.
Ability to manage multiple tasks and meet deadlines.
Clear written and verbal communication skills.
Familiarity with property management or compliance software is a plus.
Understanding of confidentiality, data security, and compliance standards.
